Make privacy a concrete question.

Identify what matters: the route to the room, visibility from a terrace, shared facilities or how visitors are handled. These are different questions and may need different answers. A private pool does not, by itself, establish privacy from every neighboring viewpoint.

Visit Dubai’s Al Maha description provides one official example of a desert property with private-pool accommodation. It does not establish a standard shared by other properties or confirm the needs of your particular party. Check the exact category rather than transferring an assumption from one description to another.

Separate essentials from preferences.

An essential is a feature without which the arrangement does not work. A preference improves the experience but leaves alternatives available. Label them separately so a property can respond accurately and identify any trade-off before a reservation is made.

For rooming, explain occupancy, sleeping arrangements and the relationship between rooms. For arrival, state the relevant timing and who needs to be met. Avoid unnecessary personal detail when a functional description answers the operational question.

Create a usable service brief.

Keep the document short enough for the people implementing it to follow. Record the requirement, responsible contact and confirmation status. Where several providers are involved, share only the information each needs. Do not assume a request made to one provider has reached another.

Agree who may approve changes. A revised arrival time or rooming plan should not exist in several conflicting versions. One current brief with clear decisions is more useful than repeated messages that mix confirmed arrangements with discarded options.

Plan departure as carefully as arrival.

Confirm checkout timing, luggage arrangements and the onward transfer through the appropriate provider. Determine whether facilities remain accessible after the room is vacated. A departure plan should account for the actual needs of the party, not simply the transport departure time.
